Figure 2: Resource name entered three different ways. To complicate matters, this project is already under way. Some of the tasks assigned to the three resources are already completed, some tasks are in progress, while other tasks are unstarted.

Before I attempt to move the task assignments from M Cobb and Mikki Howard to Mickey Cobb, it would make the moving process a little easier if I collapse all of the task assignments, and then expand only the assignments for the three resources in question. To collapse all of the task assignments, click the Select All button blank button in the upper-left corner of the sheet to select all of the resources and their task assignments.

Click the View tab to display the View ribbon. In the Data section of the View ribbon, click the Outline pick list button and select the Hide Subtasks item. After collapsing all of the task assignments for every resource, I can now expand the assignments for only M Cobb, Mickey Cobb, and Mikki Howard. To begin the process of moving the task assignments from Mikki Howard to Mickey Cobb, I must select the row headers for all of the task assignments for Mikki Howard, and release the mouse button.

Finally, I need to drag the selected block of task assignments to a position anywhere below the name, Mickey Cobb, such as shown in Figure 4. Figure 4: Drag and drop task assignments to Mickey Cobb. When you drag and drop completed task assignments from one resource to another, Microsoft Project displays the confirmation dialog shown in Figure 5 for each completed task assignment.

Click the OK button in the dialog to move the completed task assignment from one resource to another. In my sample project, the software displayed the dialog five times because there were five completed task assignments which I moved from Mikki Howard to Mickey Cobb.

The subtask then becomes a summary task. You can move summary tasks and subtasks using the drag and drop method. All subtasks will move with the summary task. When you move an individual subtask, it will take with it its level of indentation. You can show a project as a summary task in the task list.

A project summary task displays your whole project on a single row with its own summary taskbar. After you add a list of tasks to your site, you may want to change the way they are structured in the task list. You can indent or outdent a task, move a task up or down in the list, or permanently delete a task from the list. You may want some tasks to be indented below others, to indicate a set of subtasks that fall under a larger task in your project.

There are two ways to do this:. Indent and Outdent buttons Click the space to the left of the check box for the task you are indenting or outdenting, or press Ctrl and click the space to the left of the check box to select multiple tasks.

Then, on the Tasks tab, in the Hierarchy group, click Indent or Outdent. Tip: You can also indent tasks as subtasks when you are creating them. In the task list, click Open Menu … for the task that you want to use as the parent task for the subtask you are adding.

On the box that appears, click Create Subtask. Drag Click the space to the left of the check box for the task you are moving.

The cursor turns into a four-way arrow. Click and drag the task to the location in the task list where you want the task listed. The task list must be open for editing to use this method. If you decide that you no longer need a task as part of your project, you can delete the task from your task list. There are three ways to do this:.

For any large project, there will be many tasks, and you must organize your plan in Microsoft Project , so it is logical, has structure, and is easy to understand.

One way to define the structure of a project is to use subtasks and summary tasks. In Project, an indented task becomes a subtask of the task above it, which becomes a summary task.

The key point to remember is that a project is made up of tasks and resources and the work area allows you to view your task and resource data in a number of. To expand or collapse the task list, go to the View tab and click the Outline button. Choose a level to show the tasks down to that level in the outline. Create subtasks and summary tasks to outline the task list in your project. Indent and outdent tasks to show their hierarchy.

You can change the duration of a summary task without changing each subtask. But be careful — changing the duration of the summary task does not necessarily change the durations of the subtasks.

Avoid assigning resources to summary tasks. Assign them to the subtasks instead, or you might not be able to resolve overallocations.
